How a Hong Kong office search works

Every stage removes options that do not fit and develops the ones that do. By the end, the decision is between a focused set of proposals that can be compared on the same basis — not a long list of disconnected listings.

    Define the brief

    We start with location, commute, headcount, weekly working pattern, layout, move-in date, budget and term. We also ask about growth plans and notice obligations at the current office because both can change the right answer.

    We test the operator's billable desk count against comfortable occupancy. A room can hold fewer people in practice once the brief includes meeting space, a manager's office, storage and adequate circulation.

    Survey the market and build the shortlist

    We screen the centres and buildings that fit, check what is genuinely available and map the strongest matches. An option only reaches the shortlist when it answers the brief, not simply because the space is vacant.

    Stock and pricing move at individual-centre level, so we reconfirm material details with the operator instead of relying on an undated published listing.

    Build a like-for-like comparison

    Arrange and assess viewings

    We coordinate physical or virtual tours and assess each space against the way the team works. We check fit-out condition, natural light, ceiling height, acoustics, air conditioning, access hours, internet options, power, lift waiting times, meeting rooms and shared facilities.

    Details such as lift waiting time or noise between rooms rarely appear on a floor plan but materially affect the office once the team uses it every day.

    Develop the preferred proposal

    For the preferred flexible workspace, we organise the commercial questions around the monthly rate and wider package: deposit, incentives, included services, commitment length, expansion options, notice and exit conditions. You raise or confirm those points directly with the operator, with MOA keeping the comparison clear.

    The headline rate is only one part of the proposal. Differences may also appear in the deposit, included services, incentives or flexibility around a future change of space.

    Move in, and afterwards

    We help coordinate the handover and move-in after signing. We then stay reachable for a renewal, expansion or later relocation, using current market information for the next decision.

How we're paid

For the standard flexible-workspace search, you do not pay MOA a separate advisory fee for the shortlist, viewing coordination or proposal comparison. When an introduction results in a completed operator agreement, the selected operator pays MOA a referral fee.

You contract with and pay the operator according to its final proposal. We set out the recurring and one-off costs consistently so the decision is not built around an incomplete starting price.

Bobby Sodeiri has worked in flexible workspace since 2012. His career began in London, moved to Sydney in 2017 and has been based in Hong Kong since 2018. He leads the brief, shortlist, viewing coordination and operator proposal comparison for My Office Asia clients.

His role is to identify the trade-offs that are easy to miss in a listing: practical rather than billable capacity, the complete monthly cost, building usability, operator flexibility and the terms that matter again at renewal or exit.

How is the first shortlist built?

We screen current operator options against the preferred districts, practical team capacity, layout, budget, start date and expected term. Before an office is treated as current, the relevant operator confirms its availability and proposal details.

Will My Office Asia arrange and attend viewings?

Yes. MOA coordinates the relevant physical or virtual viewings and can attend with you. We record the room condition, natural light, acoustics, access, IT, included services and commercial questions so the options can be compared consistently.

Does MOA help after an office is selected?

We progress commercial questions with the operator, support move-in coordination and remain available for later renewals, expansions or relocations. The final workspace, price and agreement terms are issued and confirmed by the operator.
